Managing Contacts
Solido keeps your contact list in sync with Xero automatically. Every time a sync runs, new customers and their associated contacts are pulled into Solido so you always have an up-to-date view of who you do business with. You do not need to manually add or import contacts. The integration handles everything.
Viewing Your Contacts
To view your contacts, click Contacts in the left-hand navigation. This opens the contacts list where you can browse all customers synced from Xero. Use the search bar at the top to quickly find a specific customer by name. Click on any customer row to open their detail page, where you can see their contact information, outstanding invoices, and reminder history.
Including or Excluding a Customer from Reminders
Not every customer should receive automated reminders. Perhaps you have a long-standing client with special payment terms, or a customer you are managing manually. Solido gives you a simple toggle on each customer's detail page to include or exclude them from all automated reminders.
When you navigate to a customer's page, you will see a Reminders toggle near the top. When this toggle is switched on, the customer is eligible to receive reminder emails according to your configured rules. When switched off, Solido will skip this customer entirely, and no scheduled emails will be created or reminders sent for any of their invoices.
Managing Individual Contacts Within a Customer
A single customer in Xero can have multiple contacts associated with it. For example, a customer might have an accounts payable manager, a project manager, and a company director all listed as contacts. Solido lets you control exactly which of these people receive reminder emails by toggling individual contacts on or off.
On the customer detail page, scroll down to the Contacts section to see every person associated with that customer. Each contact has their own toggle. Switch a contact on to include them in reminder emails, or switch them off to exclude them. Only contacts that are toggled on will receive emails when Solido sends reminders for that customer's invoices.
Practical Example
Consider a customer called Acme Corp that has three contacts in Xero: Sarah (Accounts Payable), James (Project Manager), and Helen (Director). For routine payment reminders, you probably only need to contact Sarah in Accounts Payable. You would toggle Sarah on and leave James and Helen toggled off. If an invoice becomes significantly overdue and you want to escalate, you can toggle Helen on so that future reminders also reach the director. This level of control ensures that the right people receive the right communications at the right time, without overwhelming contacts who are not involved in payment decisions.
